    Factory Audit Guide for Suppliers

    A Factory Audit is an independent on-site inspection that verifies your production capacity, quality control systems, and business compliance. When buyers see an "Audited Supplier" badge on your storefront, they know your facility has been inspected by a qualified auditor — not just that you filled out a registration form.

    What the Auditor Will Check

    The audit covers six areas. Here is what to have ready for each:

    1. Production Scale and Capacity
    Have your workshop layout available. The auditor will measure floor space, count production lines, and ask about monthly output and current order backlog. Be ready to show production records from the past 3–6 months.

    2. Equipment Condition
    The auditor will photograph key machines and check maintenance logs. Make sure equipment is clean, operational, and has up-to-date calibration records. If a machine is being serviced, have the maintenance log available.

    3. Quality Control System
    Prepare your QC documentation: incoming material inspection records, in-process quality check sheets, final product test reports, and any non-conformance logs. If you have ISO 9001 or equivalent certification, have the certificate and recent audit reports ready.

    4. Certifications and Compliance
    Gather your business license (original and copy), industry certifications (ISO, CE, or others), and any regulatory compliance documents. All certificates should be current and valid.

    5. Workforce and Safety
    Have a list of technical staff and their qualifications. The auditor will check workshop safety measures — PPE availability, fire safety equipment, emergency exits, and 6S management implementation. Make sure the workshop is clean and organized on the audit day.

    6. Financial Standing
    Basic financial health indicators may be reviewed. Have recent financial statements or credit reports available if requested.

    How to Prepare

    • Organize all documents in advance — do not scramble for paperwork while the auditor is on-site
    • Brief your workshop manager and QC lead so they know what to expect and can answer questions
    • Make sure the workshop is in normal operating condition during the visit — avoid scheduling during maintenance shutdowns
    • Have sample products available for the auditor to inspect and photograph

    Common Reasons for Not Passing

    • Expired or missing certifications
    • No documented quality control procedures (verbal claims are not sufficient)
    • Equipment listed in product listings not present on-site
    • Safety violations — blocked exits, missing PPE, fire hazards
    • Business license name does not match the entity registered on ZTRFM

    If the audit identifies issues, you will receive a report with specific action items. Once you address them, you can request a follow-up audit.

    After You Pass

    Once your audit is approved, your storefront displays the "Audited Supplier" badge. The audit report summary is visible to buyers who view your storefront. The full detailed report is available to the buyer who requested the audit.

    Audit results are valid for 12 months. Plan to schedule a renewal audit before expiration to maintain your audited status.
